Show Hours — Day One Is a Half Day
A scheduling detail that catches exhibitors out: ADEX 2026 does not open for a full first day.
- •Wednesday 30 September — 14:00 to 18:00 (four hours only)
- •Thursday 1 October — 10:00 to 18:00
- •Friday 2 October — closing day
Plan around it. Your stand must be complete and staffed by early afternoon on the 30th, not by 10:00, but the compressed opening window also means the first-day delegation traffic is concentrated into four hours rather than spread across eight. Brief your team to be at full strength from the moment doors open — there is no quiet morning to warm up in.
What a Defence Exhibition Stand Actually Requires
Defence shows are not ordinary trade fairs, and stands that ignore the differences underperform badly:
- •Closed briefing rooms, not open meeting tables. Delegation conversations at a defence exhibition are frequently confidential. A stand without an enclosed, door-closing briefing space cannot host the meetings that justify attending.
- •Controlled sightlines. What is visible from the aisle should be a deliberate decision. Product displays, screens and documentation each need a considered position relative to public view.
- •Delegation reception sequence. Military and ministerial delegations arrive as groups, often on a fixed schedule with an escort. The stand needs a greeting point, a presentation position and seating for the group — in that order, physically.
- •Secure storage. Documentation, samples and equipment need a lockable area that is genuinely lockable, not a curtain.
- •Power and data resilience. Live demonstration systems failing during a scheduled delegation slot is not recoverable. Specify redundancy.
- •Documentation and clearance lead times. Any controlled or dual-use item on the stand carries export and import documentation requirements that take far longer than stand production. This is the deadline that actually governs your project.

Planning Timeline

- •April-May 2026 — Space allocation confirmed. Design cannot be finalised before the stand's open sides are known.
- •June 2026 — Concept design and 3D sign-off. Briefing room position and delegation flow decided here, not later.
- •July 2026 — Technical drawings, structural calculations, venue submission. Export documentation started for any controlled items.
- •August 2026 — Production. Long-lead items first.
- •Early-mid September 2026 — Freight to Baku with a customs buffer. Do not compress this.
- •Late September 2026 — On-site build, systems test, delegation-flow rehearsal.
- •30 September 2026, 14:00 — Doors open.
