The US Is Not Europe With Dollars

A stand that costs a certain amount in Frankfurt does not cost the same in Chicago, and the gap is not exchange rate. American shows run on a different commercial model, and three lines in that model are invisible to anyone budgeting from European experience.

Union labour. At most major US venues you cannot simply send your own crew in to build. Specific trades — carpentry, electrical, rigging, freight handling — are covered by union agreements, and work in those categories has to be performed by union labour hired through the venue's channels. There are limits on what an exhibitor may do themselves, and they vary by city. Nothing about this is negotiable on the build-up morning; it has to be priced in from the start.

Drayage. This is the one that catches everyone. Drayage is the charge for moving your crates from the loading dock to your stand space and storing the empties during the show. It is billed by weight, usually per hundredweight with a minimum, and it is entirely separate from the freight that got your crates to the venue. A heavy custom build can carry a drayage bill large enough to change which construction method you should have chosen.

Everything is priced in square feet. Not a cost issue, a comprehension issue — but it causes real errors. A 10×20 ft booth is roughly 18 m². If you carry a €/m² intuition into a $/sqft quote without converting, you will misread the number by a factor of about ten and either panic or under-budget.

What this means for how you build

Because drayage is charged by weight and labour by the hour, the economics push you towards lighter structures and faster assembly than you would choose in Europe. A design that is elegant to ship and quick to erect saves money twice over in the US, whereas the same design in Germany saves you only freight. This is why a stand should be designed for its destination rather than shipped to it — a European build flown or freighted into a US show frequently costs more on the floor than it did in the workshop.

It is also why we ask early whether you intend to exhibit in the US repeatedly. If you do, the sums usually favour a system that lives in storage there between shows rather than crossing the Atlantic each time.

Where the deadlines actually bite

US shows publish an exhibitor services manual with discount deadlines, and those deadlines are real money — ordering power, furniture, internet or material handling after the cut-off is routinely priced at a significant premium over the advance rate. The manual also sets out what you may install yourself and what must go through the official contractor. Reading it late is the second most common reason a US budget moves after approval, right behind drayage.
